Add, Drop, Withdraw

DROPPING A COURSE AFTER THE DROP/ADD PERIOD
After the drop/add period and up to and including the mid-term date of a session/semester (as designated on the Academic Calendar), a student may drop a course with the grade of "W" if the student correctly follows the drop procedures below:
COCHRAN STUDENTS

  1. Student must initiate the drop with the Academic (Program of Study) Advisor requesting the completion of a drop/add form. Students can find their Academic (Program of Study) Advisor's name on the MGC website under Registrar. Advisors for each Program of Study and Campus are listed there.
    1. Academic (Program of Study) Advisor or the student completes the form. (form can be completed electronically or manually)
    2. Academic (Program of Study) Advisor advises the student regarding the consequences of dropping a class or classes.
    3. Academic (Program of Study) Advisor must initial and date the form in the routing box!
    4. Student must sign and date the form!
  2. Student must take the form to the Registrar's office for processing.

DUBLIN CAMPUS STUDENTS

  1. Student must initiate the drop with the Academic (Program of Study) Advisor requesting the completion of a drop/add form. Students can find their Academic (Program of Study) Advisor's name on the MGC website under Registrar. Advisors for each Program of Study and Campus are listed there.
    1. Academic (Program of Study) Advisor or the student completes the form. (form can be completed electronically or manually)
    2. Academic (Program of Study) Advisor advises the student regarding the consequences of dropping a class or classes.
    3. Academic (Program of Study) Advisor must initial and date the form in the routing box!
    4. Student must sign and date the form!
  2. Student must take the form to the Office of the Dublin Campus Director (in his/her absence see the Admissions Coordinator).
  3. The Office of the Dublin Campus Director (or Admissions Coordinator) will fax or send the form to the Registrar's office for processing.

GEORGIA AVIATION CAMPUS STUDENTS

  1. Student must initiate the drop with the Academic (Program of Study) Advisor requesting the completion of a drop/add form. Students can find their Academic (Program of Study) Advisor's name on the MGC website under Registrar. Advisors for each Program of Study and Campus are listed there.
    1. Academic (Program of Study) Advisor or the student completes the form. (form can be completed electronically or manually)
    2. Academic (Program of Study) Advisor advises the student regarding the consequences of dropping a class or classes.
    3. Academic (Program of Study) Advisor must initial and date the form in the routing box!
    4. Student must sign and date the form!
  2. Student must take the form to the Assistant to the Division Chair for Aviation (in his/her absence see the Admissions Coordinator).
  3. The Assistant to the Division Chair for Aviation (or Admissions Coordinator) will fax or send the form to the Registrar's office for processing.

ONLINE STUDENTS

  1. Student must initiate the drop with the Academic (Program of Study) Advisor requesting the completion of a drop/add form by phone or email. Students can find their Academic (Program of Study) Advisor's name on the MGC website under Registrar. Advisors for each Program of Study and Campus are listed there.
    1. Academic (Program of Study) Advisor or the student completes the form. (form can be completed electronically or manually)
    2. Academic (Program of Study) Advisor advises the student regarding the consequences of dropping a class or classes.
    3. Academic (Program of Study) Advisor must print the form or the student must fax or email the form to the advisor.
    4. Academic (Program of Study) Advisor must initial and date the form in the routing box!
  2. Academic (Program of Study) Advisor will forward the form to the Registrar's office for processing.

DROPPING A COURSE AFTER MIDTERM
After the mid-term date of a session/semester (as designated on the Academic Calendar), a student who drops a course, or who is administratively dropped from a course by the instructor due to excessive absences, will receive the grade of "WF". The routing procedures listed above still apply. NOTE:  The only exception to a student receiving a "WF" after mid-term is in the case of hardship. A student's class instructor may recommend the grade of "W" after the mid-term date if, (1) The student is passing the course at the time of the drop, AND (2) The hardship is of a non-academic nature. The recommendation must be submitted in writing by the instructor by completing the "Course Drop for Excessive Absences" form (with appropriate recommendation justification attached). This form should be submitted to the instructor's Division Chair who will forward it with his/her recommendation to the Vice President for Academic Affairs for final approval.

Questions Your Advisor Will Ask You

  • Are you withdrawing from ALL classes? IF YES, student must complete the Statement of Withdrawal on the "Drop/Add/Withdrawal" form.
    • Are you dropping for medical or other uncontrollable reasons?  IF YES, there is a code for that type of withdrawal that does not penalize the student. The student needs to refer to the College catalog (page 90) regarding procedures for this type of withdrawal.
  • Do you live in an MGC dorm? IF YES, and semester hours drop below 9 credit hours the student MUST receive permission from the Director of Residence Life in Grace Hall or by phone at 478-934-3027 to continue to be a dorm resident.. If Student is Dropping a Full Schedule:  Student will lose his/her full housing amount. 
  • Are you currently enrolled in at least one learning support class? IF YES, the student needs to be advised to see the Learning Support Director prior to delivering the drop form to the Registrar's office. If the student is dropping their only or their last learning support class - up until the mid-term - the student's entire schedule will be cancelled.
  • Are you receiving financial aid? (Includes HOPE grant, HOPE scholarship, PELL grant, other grants and scholarships, loans, Voc Rehab, etc...)  IF YES, student SHOULD speak with his/her financial aid counselor to determine what impact the withdrawal may have on his/her financial aid status.  This is particularly relevant for potential impact to the student's Satisfactory Academic Progress (SAP).  The student should wait before dropping the class(es) until after speaking with the financial aid counselor. If student is dropping a full schedule:  Student may owe money to the college that must be paid back to MGC and a dorm student will lose his/her full housing amount. 
  • Are you receiving Veterans (VA) benefits?   IF YES, student MUST contact VA rep. in the Registrar's office.
  • Are you on a varsity athletic team at MGC? IF YES, student MUST first contact Charles Mullis, Athletic Director. Eligibility to play sports is based on an athlete's semester credit hours.
  • Are you classified as an International Student?  IF YES, then the student MUST first contact Liz Travis in Grace Hall or by phone at 478-934-3136.
  • Are you covered under your parent's health insurance plan?  IF YES, and dropping the class(es) results in below full-time status the student  SHOULD  notify his/her parents. Most insurance companies require that dependents be enrolled full-time in order to be covered by insurance.
  • Are you a ward of the state? (Such as foster care or independent living group home) IF YES, the 3rd party paying for the student to attend school MUST know that the student is dropping a class especially if dropping the class results in below full-time status.
  • Are you in co-op program at MGC?   IF YES, then the student MUST notify his/her Division Chair.
  • Are you a GAMES student at MGC?  IF YES, then the student MUST first contact Lisa Whitaker.   

NOTE:

  • Dropping classes after the drop/add period thru mid-term will result in the student receiving W's for classes dropped.  W's show up on student's transcript but do NOT affect student's GPA.

After mid-term thru the last day of the semester the student will receive a "WF" for their classes, which equates to "F" and will show as "WF" on student's transcript and will count towards calculation of student's GPA.
